Shopify Digital Download Email Delivery: Setup & Best Practices

Everything you need to know about setting up and customizing download emails for your Shopify digital products

Published on March 26, 2026 by Alva Digital Downloads Team

You just launched your digital product store. A customer buys your ebook, template, or course material. They pay successfully. And then… nothing. No email. No download link. The customer opens a support ticket. You scramble to figure out what went wrong.

This scenario is the single most common pain point for merchants selling digital products on Shopify. Email delivery sounds simple, but between "order placed" and "customer gets their download link," there are fraud checks, email delivery, and spam filters to navigate. If anything goes wrong, your customer is left empty-handed.

This guide covers how to set up email delivery correctly in Alva Digital Downloads, how to troubleshoot every common failure, and what best practices keep your emails landing in inboxes instead of spam folders.

How Does Shopify Digital Download Email Delivery Work?

Understanding the email delivery flow helps you diagnose problems faster. Here is what happens when a customer places an order for a digital product:

Customer Places Order Alva Processes Order Is fraud checking enabled? Yes: Fraud Review Approved? If approved (or fraud checking is disabled): Is Email Enabled? Build Email Template Send Email Customer Gets Download Link

Let us walk through each stage in detail.

Stage 1: Order Processing

When a customer completes payment, Shopify notifies Alva of the new order via Shopify's webhook system. Alva processes every order reliably, even during high-traffic periods like flash sales or Black Friday. No orders are ever lost.

Once the order is received, Alva links it to the correct digital files and determines what happens next based on your store settings.

Stage 2: Fraud Check (If Enabled)

If you have fraud protection enabled in your Alva settings, the order enters the fraud check queue before any email is sent. Alva assesses the order's risk level automatically. Depending on your configuration:

This is a critical detail: if fraud checking is enabled and an order is awaiting review, the email will not be sent until you approve it. This is by design — it prevents fraudulent buyers from receiving your files before you have a chance to review the order.

Stage 3: Email Delivery

Once an order clears (either fraud check passes or fraud checking is disabled), Alva checks whether email notifications are enabled for your store. If they are, it builds the email using your configured template and sends it.

Why Do Alva's Download Emails Almost Never Fail?

Most digital download apps rely on basic email sending with no backup plan. If anything goes wrong, your customers simply do not get their downloads. Alva handles this differently.

Alva's Reliable Email System

Dedicated transactional delivery: Alva sends download emails through infrastructure built exclusively for transactional email (not marketing). This means higher inbox placement and consistently strong deliverability.

Automatic failover: If the primary email delivery encounters any error, Alva automatically retries through a completely separate backup system. No merchant action required.

This redundancy means your customers reliably get their download emails, even during outages at any single email provider.

Why Does Dedicated Email Infrastructure Matter?

Alva's email infrastructure handles only transactional email — order confirmations, download links, and delivery notifications. It does not share resources with bulk marketing email. This matters because:

Automatic Failover

If Alva encounters any error when sending an email — whether a temporary issue or a server problem — it automatically retries through a separate backup system. The customer experiences no delay; the failover is instantaneous.

Every email sent is logged with the delivery status and timestamp. This gives you a complete audit trail of every download email your store has ever sent.

How Do I Set Up Email Delivery in Alva?

Email delivery works out of the box with Alva — no configuration is required for basic functionality. However, there are several layers of customization available to make your download emails match your brand perfectly.

Step 1: Verify Email Notifications Are Enabled

In your Alva admin panel, navigate to Settings. Look for the Email Notifications toggle. This is the master switch — when it is off, Alva will not send any download emails for any product. Make sure it is turned on.

This toggle exists because some merchants prefer to handle email delivery through their own systems or through Shopify Flow automations. But for most stores, you want this enabled.

Step 2: Customize Your Global Email Template

Under Settings > Email Template, you can customize the default email that goes out with every digital download delivery. The customizable elements include:

These settings apply to all products by default. But what if you sell very different types of products — say, photography presets and business templates — and want each category to have its own email look and messaging?

Step 3: Set Up Per-Product Email Overrides (Optional)

Alva lets you override the global email template on a per-product basis. Navigate to any product in your Alva dashboard and click the Email tab. Here you can set a unique subject line, body text, button color, and more for that specific product.

When a customer buys that product, they receive the per-product template instead of the global one. If they buy multiple products in one order and one has a per-product template while others do not, the per-product template takes precedence for that product's email.

For a complete walkthrough of this feature, see our guide: Per-Product Email Templates for Shopify Digital Downloads.

Step 4: Configure a Custom Email Domain (Optional)

By default, Alva sends download emails from its own sender address. But if you want your emails to come from downloads@yourbrand.com or orders@yourstore.com, you can set up a custom email domain.

This involves adding DKIM and Return-Path DNS records to your domain, which Alva verifies automatically. Once verified, all download emails from your store will be sent from your own domain, which improves deliverability and builds customer trust.

For the full setup process, see our dedicated guide: Custom Email Domain for Shopify Digital Downloads.

The Email Customization Stack

Alva's email system works in layers, from broadest to most specific:

  • Layer 1 — Master toggle: Email Notifications on/off (Settings page)
  • Layer 2 — Global template: Default subject, body, colors, logo, footer (Settings > Email Template)
  • Layer 3 — Per-product override: Product-specific subject, body, colors (Product > Email tab)
  • Layer 4 — Custom domain: Send from your own domain instead of Alva's (Settings > Custom Domain)

Each layer overrides the one above it. Per-product settings always win over global settings. The master toggle overrides everything.

Multi-Channel Delivery

Email is the primary delivery channel, but Alva does not rely on it exclusively. Every purchase is accessible through up to five separate channels, ensuring your customers can always get their files even if the email never arrives:

Channel How It Works When It Helps
Email Download link sent automatically after purchase Primary delivery for most customers
Thank You Page Shopify checkout extension shows downloads immediately after purchase Customer gets files before the email even arrives
Customer Account All purchased downloads accessible from Shopify customer account Customer returns later to re-download files
Order Status Page Downloads available on the order status page within customer accounts Customer checks specific order for downloads
POS In-person purchases capture email and send downloads Retail/pop-up shop digital product sales

Instant Downloads: Files Before the Email

One of Alva's most important reliability features is instant download access on the Thank You page. When a customer completes checkout, download links appear immediately — before the email even arrives.

This means the customer can start downloading their files the instant they see the Thank You page, without waiting for the email to be sent. Even if the email is delayed or goes to spam, your customer already has their files.

The customer does not have to wait for anything, and you do not have to worry about email delays costing you a support ticket.

Why Multi-Channel Delivery Matters

Think of each delivery channel as a layer of insurance. Most customers get their files from the email. But if they close the email, lose it, or it goes to spam, they can go to their Shopify account. If they do not have an account, the Thank You page already gave them access. If they missed that, the Order Status page has it.

With five independent delivery channels, the odds of a customer being unable to access their purchased files are effectively zero. Read more about the Order Status channel in our Order Status Extension guide.

How Can I Track Email Delivery in Alva?

Every email Alva sends is recorded in a delivery log. This gives you a comprehensive audit trail with the following information:

If a customer claims they did not receive an email, you can verify in the order detail page whether the email was sent successfully. If the log shows the email was sent but the customer did not receive it, the issue is on the receiving end (spam filter, wrong address, full mailbox).

How Do I Resend a Download Email?

Sometimes you need to resend a download email — maybe the customer deleted it, it went to spam, or you approved a previously flagged order and want to make sure the email goes through.

Alva makes this simple:

  1. Go to Orders in your Alva admin panel
  2. Find and click on the specific order
  3. On the order detail page, click the Resend Email button
  4. A fresh email with valid download links is sent immediately to the customer

The resent email uses the same template configuration (global or per-product) as the original. Fresh download links are generated so the links are valid.

Best Practices for Digital Download Emails

Following these practices significantly improves your email delivery rates and customer experience.

1. Write Clear, Specific Subject Lines

Your subject line is the first thing a customer sees, and it directly affects whether they open the email or whether spam filters flag it.

Good examples:

Avoid:

2. Include the Product Name in the Email Body

Customers often do not remember what they bought, especially if they made multiple purchases. Including the specific product name in the email body helps them recognize the email as legitimate and understand what they are downloading.

3. Set Expectations About Download Limits

If you have configured download limits or link expiration times, mention them in the email body text. Something like "Your download link is valid for 7 days" or "You can download this file up to 5 times" prevents confusion and reduces support tickets.

4. Set Up a Custom Email Domain

This is the single most impactful thing you can do for deliverability. Emails from downloads@yourbrand.com with proper DKIM authentication are far less likely to be flagged as spam than emails from a shared sender address. The setup takes about 10 minutes and involves adding two DNS records.

5. Use Per-Product Templates for Diverse Catalogs

If you sell different types of products (courses, templates, music, software), use per-product email templates to send the right message for each product type. A customer downloading a video course needs different instructions than someone downloading a font pack.

6. Test with Real Email Addresses

Before launching, place a test order using a real email address (not a catch-all or test mailbox). Check that the email arrives in the primary inbox, that the download link works, and that the template looks correct on both desktop and mobile email clients.

7. Monitor Your Email Logs

Periodically check the order detail pages for recent orders to confirm emails are being delivered successfully. If you notice a pattern of failures, it may indicate a configuration issue that needs attention.

Frequently Asked Questions

Can I disable download emails for specific products?

The Email Notifications toggle in Settings is a global on/off switch that affects all products. You cannot disable emails for individual products while keeping them enabled for others through this toggle. However, if you want certain products to not trigger download emails, you can handle delivery exclusively through the Thank You page and Customer Account extensions instead. Products without digital files mapped to them will not generate download emails.

How fast are download emails delivered?

If fraud checking is disabled, the email is typically sent within seconds of the order being placed. The entire process usually completes in under 10 seconds total. With fraud checking enabled, low-risk auto-approved orders add a few seconds for the risk assessment. High-risk orders held for manual review are sent the moment you approve them.

Does Alva send emails for POS (point-of-sale) orders?

Yes. When a POS order contains digital products, the Alva POS extension captures the customer's email address and sends the download email immediately. POS orders bypass the fraud check entirely since the customer is physically present, so there is no delay.

Can I customize the email for different languages?

Alva supports 35 languages in the admin interface (including English, Spanish, French, German, Japanese, Portuguese, Italian, Dutch, and 27 more). The email template text is fully customizable, so you can write your subject line, body text, and button text in whatever language your customers use. If you serve customers in multiple languages, you can use per-product email templates to create language-specific templates for products targeting different markets.

What if I switch from another digital downloads app to Alva?

When you install Alva, email delivery for new orders begins immediately (assuming you have Email Notifications enabled and files mapped to products). Orders placed before installing Alva are handled by your previous app. There is no gap in delivery for new orders.

Is there a limit on how many emails Alva can send?

No. Alva does not impose any per-email or per-month limits on download email delivery. Whether you process 10 orders a month or 10,000 orders a day, every order gets its download email. There are no transaction fees for email delivery on any plan.
